For many people, staying organized at work can be a challenge.
A primary function in my role as executive support at Fpweb.net is organization, so it’s something I put a lot of time and energy into. It took some time to find ways to organize my day and stay efficient, but after a while on the job, I believe my system works so I’ll share what works.
Top 5 Tips for Staying Organized at Work!
1. Clean Out Your Workspace
Even if you’re a neat freak – your desk or office area is bound to become somewhat cluttered over time. Every few months (or whatever makes sense for you) take a few minutes to clean out your space and get things more organized. It’s amazing how much better you feel when your workspace is cleared out. The less cluttered my desk is, the more I can get accomplished!
2. Create a To-Do List
I would be completely lost without my to-do list. It’s impossible to remember every little task that needs to be completed each day. I have items I need to complete months from now on my calendar to be sure I don’t forget. Create a daily or weekly to-do list to help organize your work life and stay on track. It also helps when you need to backtrack and find what you were working on last week or month for reporting purposes.
3. Track Everything with an Activity Log
If you are unsure about how you can organize your day, a good place to start is to keep an activity log of your daily tasks. This will give you an idea on how you’re spending your day and on what items. Do you recognize any time wasters? Are there items that take up a majority of your time but you are doing them at your busiest time of day, thus making it harder for you to concentrate? An activity log will give you an outline of your work week which helps you shift tasks around, eliminate time wasters, and organize your day more effectively.
4. Identify When You Are Most Productive
I have found my most productive time of day is in the morning. I’m ready to tackle the day and can get much more accomplished before lunch than after. I use this knowledge to my advantage. I organize my day by completing the more time consuming and detailed tasks in the morning while I’m most alert and productive. I’ll then leave the simpler tasks for later in the afternoon. Organizing my day like this has helped me stay on track and complete daily work effectively.
5. Prioritize, Then Tackle One Task at a Time
Every job requires multi-tasking, but we really do our best work when we can concentrate on one task at a time. Don’t be overwhelmed by your whole workload – just focus on one project at a time. Each day, I prioritize what I need to do by most important to least. Then I tackle my most important items during my most productive time of day. I’ve found that organizing my day and tackling one task at time helps me feel less stressed and more productive. It’s a win/win!
